Order Entry Administrator

Key Responsibilities

Order Processing and Management

  • Efficiently manage the end-to-end order processing workflow by receiving, reviewing, and accurately entering customer orders into the Enterprise Resource Planning (ERP) system.

  • Perform thorough verification of order details, including product codes, quantities, pricing, and customer information to ensure accuracy and compliance with company standards.

Customer Support and Communication

  • Actively monitor communication channels such as Ruby and the Orders mailbox to promptly address general customer inquiries.

  • Direct inquiries to the proper representatives and aid customers with requests, ensuring a high level of customer service and satisfaction.

Documentation

  • Ensure that all customer orders are accompanied by the necessary documentation and ease smooth processing and delivery.

  • Aid in the preparation and aggregation of any and all manuals and support documents, such as meeting minutes and resources, to enhance team efficiency and customer understanding.

Support Activities

  • Provide comprehensive administrative support to the sales teams by accurately entering data for quotes and proposals.

  • Maintain organized records and documentation to support the sales process and customer interactions.

Cross-Functional Collaboration

  • Collaborate effectively with engineering and production teams to ensure seamless order processing and fulfillment.

  • Participate in regular cross-departmental meetings with sales, production, and planning teams to discuss order status, production schedules, and inventory levels.

  • Contribute feedback and insights to improve data quality, streamline processes, and enhance overall customer satisfaction.

Continuous Improvement and Training

  • Proactively find and recommend process improvements to enhance the efficiency and accuracy of order entry operations.

  • Engage in continuous learning and professional development opportunities to stay abreast of industry trends, best practices, and advancements in technology.

Qualifications
